These tasks await you
You support the team management and HVAC system engineering management in all tasks, work proactively and ensure that all processes and workflows run smoothly. After a detailed briefing, you work independently and in a team with other colleagues. Your working environment is modern, digital and structured by defined workflows. Your area of responsibility includes, among other things:

- Processing daily mail and assigning it to the relevant contact persons via document scanner
- Checking fax and email inbox daily and forwarding incoming faxes or emails to the relevant contact person

- Correct recording and maintenance of master data (customers, suppliers, locations, …)

- System-side creation/recording of the order/order
- Creation and dispatch of the order confirmation
- Creation and provision of the corresponding (material) delivery notes
- Project inquiries – HVAC System Engineering

- Recording incoming inquiries by telephone, creating the corresponding ticket and forwarding it to sales (B2B / B2C)
- Planning – HVAC System Engineering

- Participation in the “kick-off meeting” to discuss new projects
- Participation in the “project meeting” to discuss topics in current projects
- System-side creation of new projects, as well as creation of the respective work orders and comparison of these with the respective customer offers
- Written coordination and communication with all project participants
- Creation and dispatch of order confirmations to customers
- Creation and dispatch of work contracts and archiving of relevant documents and orders in the ERP system
- Preparation of project folders including bill of materials and system description for the senior installers

- Coordination and agreement of execution dates with all project participants (B2B/B2C) after internal clarification, including rescheduling and/or cancellation if necessary
- Telephone or written processing and answering of inquiries from all project participants on project topics (B2B/B2C)
- Creation and archiving of file notes
- Checking and comparing work orders for factual accuracy and correct material bookings, as well as recording/processing of increases and changes and creating the measurements for each order
- Creation and printing of HVAC system labels and operating instructions for customers
- Monitoring of goods transactions in the project

- Supplementation of the respective plans
- Creation of HVAC system inspection books and the respective documentation folders as well as maintenance of the system master data/forms

- Questioning customers about their satisfaction with the processing and passing on the feedback to the respective assembly teams

- Support in the form of supporting work for the HVAC system engineering manager and the team leader
- Creation and dispatch of the KOS KLIMA customer newsletter (creating content, producing images, dispatch)
- Acceptance and distribution of incoming calls via the switchboard
- Acceptance of parcel service and suppliers
- Welcoming and assisting customers
